Getting Started with Automations

Qwilr Automations make it easier to manage your sales process by keeping your Pipedrive CRM up to date with what’s happening in your Qwilr Pages. For example, if a client views or accepts a page, that activity can automatically be recorded in Pipedrive.

To get started, make sure your Pipedrive integration is connected and has the right permissions, including full access to Deals. Then, set up your triggers (the Qwilr events you want to track) and actions (what you want to happen in Pipedrive) so everything works smoothly.

Note for existing Pipedrive users: Before using Automations, go to your Pipedrive integration settings in Qwilr and disable, then re-enable the integration. This refreshes permissions and activates automation capabilities.


Adding Automations to your Templates

Navigate to Automations

  • In Qwilr, click Library in the top left corner, then select Automations.

Create a New Automation

  • Click Create Automation.
  • Select Pipedrive (Deals) as your connected app.


Set the Trigger

  • In the When section, choose an event from your Qwilr page, e.g., When a page is accepted by the client.

Choose the Action(s)

  • In the Do this section, choose one or more Pipedrive actions:
    • Update deal amount
    • Update deal fields from accepter responses
    • Update deal fields from page details
    • Update deal line items
    • Update deal pipeline stage
    • Update deal status

Please note: For the "update deal amount" action, the Value field of a deal that has products is auto-calculated from the Product line items, and hence it cannot be updated. We suggest in this case, you sync the Page Value in the "update deal fields from page details" action to a custom field as a workaround for the issue.

  • Click the plus (+) icon to add multiple actions if needed.


Assign to Templates

  • Under Assign automation, select which templates should use this automation.
  • You can also add automations to templates later by going to your Template Library and clicking the automation icon.

Save Your Automation

  • Add a clear name and description.
  • Click Create in the top right corner.


Activity log

The Activity Log helps you track the status of your automations:

  • Success: The automation ran as expected.
  • Error: There was a problem running the automation.
  • Review: The automation was only partially successful that requires your review

Clicking the dropdown beside an automation entry will show more details about the event.

Frequently Asked Questions

Q: Why can’t I update the close date?

A: In Pipedrive, deals that are closed won or closed lost automatically have the closed date set. We recommend using the ‘update deal status’ action to ensure your deals will be set to closed won once accepted in Qwilr.

Q: Can I add an automation to multiple templates?

Yes, you can assign an automation to multiple templates when creating it, or later by editing the automation or updating your template settings.

Q: Can I run more than one action in Pipedrive from a single trigger?

Yes, use the plus (+) button in the “Do this” section to add multiple actions.

Q: What type of fields in Pipedrive can I sync Qwilr data to from accepter responses or updating fields from page data?

They can be standard or custom fields, but only the following types: •  "text", "monetary", "time", "date", "varchar", "double", "int"

Users need to make sure to choose the right type of field depending on the data, otherwise automation will fail to execute due to validation errors.

Q: How many line items can I sync back?

The "Update deal line items" action won't run for pages that contain more than 50 line items. Please see below for details.

Q: Why can’t I sync more than 50 line items at once?

Pipedrive’s API doesn’t support bulk updating line items, so we have to send one request per item. To avoid hitting Pipedrive’s (conservative) rate limits and to keep your other CRM activity running smoothly, we cap each sync at 50 line items. This protects your account from being rate-limited and helps automations remain reliable.
