HubSpot V2: Manage your Custom Field Variables

Qwilr makes the most commonly used HubSpot fields available to your Templates automatically. Anything else, including the custom fields you've built in HubSpot, you switch on yourself. This allows for your Variables list to stay short and easy to search.

Importing Custom Fields

The ability to synchronize new custom fields to your HubSpot-connected Qwilr templates is still available when editing a Template by going to the top right and selecting Variables and then, under the CRM tab, clicking the synchronize button. The below is a new way to manage what variables show up from your HubSpot Integration.

Step 1. Go to Integrations on your left sidebar in your Qwilr dashboard, click the HubSpot (New) tile, and open the Variables tab.

Step 2. Choose the record type in the CRM object dropdown; Companies, Contacts or Deals. The list below updates to show that record type's fields.

Step 3. Find the field you want. Type into Search by CRM field to narrow the list.

Step 4. Tick the checkbox next to each field you'd like available in your Templates.

Some things to note:

  • Your changes automatically save, however, may take a second or two to complete so take a moment before you navigate away.
  • Select all only applies to all fields currently on screen, not every custom field you may have in your HubSpot account. You can move the subsequent pages at the bottom of the list.
  • Default fields can't be removed. The default set of fields for a HubSpot object like Deals will always be available by default.
  • If you do not see all your fields, check both the supported field types list below, as well as if you have any filters set.
  • Fields you tick are available to everyone in your Qwilr account, in every Template.

You don't have to add a Company field to a Company Template to use it. A Deal can reach fields on its associated Company and Contact, and a Contact can reach its associated Company.

Owner fields work the same way. Drill into Owner to reach the owner's Name, First Name, Last Name, Email and ID. Qwilr looks the person up in HubSpot for you, so you get the name rather than an internal ID.

Note: If the Owner can't be found, say because they were deleted from your HubSpot account for example, every Owner variable comes through empty rather than showing an ID. Where no name is recorded, Owner Name falls back to the email address.


Removing Custom Fields

If you no longer need a field, you can take it back out of your Variables list. Open the same Variables tab under your HubSpot (new) integration in the Integrations list, find the field, and untick its checkbox.

Unchecking a field stops it appearing in the Variables list for new work. It does not remove it from Templates that already use it. That will need to be done manually from each template.


Supported Fields

Qwilr can use any HubSpot field that holds a single value. Here's how each type behaves once it's on a Template.

🟢 Fully supported

  • Single-line text, Multi-line text, Email, URL, Phone number — the value as stored.
  • Number, Currency, Percentage, Score — the number as stored, including any decimal places. No thousands separators and no currency symbol.
  • Date — shown as a formatted date, for example May 30, 2026.
  • Dropdown select and Radio select — the option's display label.
  • Multiple checkboxes — every selected label, separated by a semicolon and a space.
  • HubSpot user / Owner — drill in for name, email, first name, last name or ID.
  • Related object field — a Deal reaching Company or Contact fields. Each one behaves the same as the field it points to.

🟡 Partly supported

  • Single checkbox — shows as true  or false  rather than Yes or No. If you'd like friendlier wording on a Page, use a dropdown field instead.
  • Rich text — the HTML tags show as text instead of formatting.
  • Date and time — the time is dropped and you get the date only.
  • Duration — shows the underlying number rather than a readable value like 11 days.
  • File — you get HubSpot's file ID, not a link or a filename.
  • Multi-select user picker, such as Deal Collaborator — shows HubSpot's internal user IDs rather than names. This one is deliberate: Qwilr can only look up one owner at a time.

🔴 Not supported

Fields that hold more than one value at once can't be shown as a single piece of text, so they never appear in the Variables list.

  • Address / Location fields that HubSpot stores as map coordinates. The ordinary Street Address, City, State and Postal Code fields are all fine — they're included as default fields.
  • Any other compound field type.
Note: Calculated and roll-up fields follow whatever type HubSpot gives the result. A calculation that produces a number behaves like a Number field; one that produces text behaves like a text field.
