Gong: Setup and Use

Connect Gong to Qwilr once at the account level, then let the Smart Proposal Engine draft page content straight from your sales call transcripts. This guide covers connecting the integration, adding a Gong Transcript data source to a template, picking calls when creating a page, and troubleshooting common issues.

Before you start

You will need:

  • A Qwilr account on Scale (or the legacy Enterprise plan), with AI features turned on for the account in Account settings → Account → Feature Permissions (only Qwilr admins can change this setting)
  • A Gong account, connected by someone with the Technical Administrator role in Gong.

Only a Gong Technical Administrator can connect this integration. Gong restricts the company-wide authorization step to that role, so a standard Gong user who tries will see an "Insufficient permissions" screen. Being a Qwilr admin is not enough on its own.


Connecting Gong

Gong only needs to be connected once, by one admin, for your whole Qwilr account.


Step 1. In Qwilr, go to Settings → Integrations and find Gong.

Step 2. Select Enable Gong. A Gong window opens for you to authorize Qwilr.

Step 3. Sign in to Gong as a Technical Administrator and approve the requested permissions. Qwilr asks for read access to your calls and transcripts.

Step 4. You will be returned to Qwilr, and Gong will show as connected.

If the Gong Transcript card tells you Gong is not connected, ask a Gong Technical Administrator in your organization to complete the steps above. You will not be able to connect it yourself.

What everyone in your account can see

Because Gong authorizes Qwilr company-wide rather than per user, every Qwilr user in your account sees the same list of Gong calls. The list is not filtered to the calls you own or attended.

This is deliberate. Reps often need to draft from a call they were not on - a solutions engineer's demo, a manager's negotiation call, or a teammate's discovery call - and per-user scoping would hide exactly those.

Private calls are excluded. If a call is marked private in Gong, Qwilr does not show it in the picker and will not pull its transcript.


Adding a Gong Transcript data source to a template

The Gong call picker only appears when you create a page from a template that has a Gong Transcript data source on it.

Step 1. Open the template you want to use and go to the Template Settings sidebar.

Step 2. Under data sources, click Add data source and choose Gong Transcript.

Anyone creating a page from that template will now be asked to choose Gong calls. A template can hold one Gong Transcript source. If Gong is not connected, the menu says so instead of adding the source, and an admin can connect from there.


Creating a page from a Gong call

Step 1. Create a new page from a template that has the Gong Transcript data source.

Step 2. In the create page flow, find the Gong Transcript card and click it to open the call picker.

Step 3. Find the call you want. The picker lists calls that Gong has finished transcribing, newest first. Search by call title or by a participant's name, and load more calls as you scroll - search only filters the calls already loaded. Each row shows the call title, the date and time, the participants, and the call duration.


Step 4. Select one or more calls. Selecting several calls combines their transcripts, which is useful when a deal has run across discovery, demo and follow-up calls. You can add up to 10 calls to a single page.

Step 5. Close the picker and continue creating the page. The Smart Proposal Engine uses the transcripts to draft the page content.

Older calls: To reach an older call quickly, paste its Gong call link into the field


Troubleshooting

The call list is empty for everyone. The Gong connection may have expired or been disconnected. Ask your admin to reconnect Gong in Settings → Integrations. Because the connection is shared across the account, a broken connection affects all users at once.

I can see a colleague's call. That is expected. The call list is account-wide, as described above.

I cannot add any more calls. A page can use up to 10 Gong calls. Remove one from the card if you need to swap another in.
