HubSpot: FAQ


The HubSpot-Qwilr integration helps businesses create visually appealing sales documents within HubSpot. This FAQ addresses common questions and issues to help you make the most of this powerful tools.

How to fix the "Unauthorized" error when connecting Qwilr with HubSpot?

If you're encountering an "Unauthorized" error while trying to connect Qwilr and HubSpot, here are some steps to resolve it.

Things to check:

  1. Do your email addresses match in both Qwilr and HubSpot?

Make sure you're using the same email for both accounts. The e-mails have to be identical for the integration to work correctly.

  1. Do you have the right access permissions?

You’ll need Admin access in Qwilr and Super Admin access in HubSpot to connect the integration.

  1. Are you on a desktop or laptop?

Qwilr only works on desktop or laptop computers, so using a mobile device could cause issues.


After checking these steps, let's take a look at your cookie settings, as third-party cookies can often cause issues.

  • Safari users

For Safari, you will need to enable third party cookies. Go to the Safari app on your Mac. Choose Safari > Settings, then click Privacy. Next to Website tracking make sure the box Prevent cross-site tracking is disabled.

  • Chrome users

In Chrome, go to Settings > Privacy and security > Third party cookies and ensure cookies are allowed for both Qwilr and HubSpot.

What to do when my Templates aren't showing?


If your templates aren’t displaying, here are some steps to help you troubleshoot the issue:

  1. Check your email addresses:

    Do your Qwilr and HubSpot account emails match? They need to be identical for the integration to work correctly.

  2. Check the Template type:

    Confirm that your Template is a CRM template and not a Qwilr template. You can do this by clicking on the Variables tool to check if it has been converted for HubSpot.

    Here's how you can create a CRM Template.

  3. Correct HubSpot record:

    Are you accessing the template from the appropriate HubSpot record? For example, if it’s a Deal template, make sure you’re viewing it from a Deal record.

  4. Template permissions:

    Do you have permission to access this template? If you're an admin, you should have access. If you're a Creator, ensure you have the necessary permissions to view the template.

  5. Check for manually-typed Variables

    Review the text of the template to ensure that you haven’t included any manually-typed Variables. Our integration can only read manually-typed Variables in the title of the template. If they appear anywhere else, the template may not be visible. A quick way to check is by pressing Ctrl+F to search the page for the curly bracket symbol: {.


Why aren't the Deal Owner and Contact Owner Variables working?

Our HubSpot integration will display a Deal Owner Variable in the Variable list of a Deal template. (There's also a Contact Owner Variable for Contact templates.) But these Variables will only pull in a number, not a name. Unfortunately, HubSpot has the normal Deal Owner and Contact Owner fields on a different API than the one we access for our integration. We don't have access to pull in the names of a Deal or Contact owner.

Luckily, there is a workaround for this!

In HubSpot, you can create a deal-based workflow that automatically copies the deal owner’s name into a custom property.

  • Start by setting a trigger so the workflow runs when the deal owner is known, then add an action to update your custom field with the owner’s name. 
  • Make sure you have created the custom property before building the workflow, as you’ll need to select it during setup.
  • Once configured, review, publish, and turn the workflow on.

Can I embed a HubSpot Form or Calendar in my page?

Note: The embed code generated by HubSpot isn't compatible with our Embed Block.

To embed your HubSpot Form, grab the Share Link for the form when you publish it.

For your Hubspot calendar, simply copy the link to the calendar which looks someting like this: "https://meetings.hubspot.com/username/meet-with-username...."

When you paste the link into the Embed Block, the form will display in your Page and your customers will be able to enter responses. The responses are collected in your HubSpot account. And for the calendar, folks will be able to book with you directly.

Note: This form will not display in an Incognito window, but it will work on the public Qwilr Page.


How to create a 'Today's date' date property?

Log into your HubSpot account, go to Automations > Workflows, and make sure to select "Schedule" before creating your workflow.


Can my HubSpot deal records be updated automatically?

Yes, of course! You can create many automations between Qwilr and HubSpot. When a Qwilr page changes state (e.g., accepted, declined, or expired), you can automatically update related HubSpot deal records. These automations allow you to update fields like the deal pipeline stage, close date, or amount. You can learn more about the Automations feature here: Automations: HubSpot


What is the New HubSpot V2 Integration?

Qwilr has released an updated HubSpot Integration. It is accessible to all users and can be found under Integrations on the left sidebar of your Qwilr dashboard. If you are on the original HubSpot Integration we have instructions for how to update to the V2 version in this help doc.


Can I use both HubSpot integrations at once?

Yes. While you're updating, both can be enabled, and each Template stays linked to whichever one it was built on. Leave the old one enabled until every Template has been upgraded as diisabling it first will strand the Templates still using it.


For the HubSpot V2 Integration, I have some questions.


Do I need to rebuild my old Templates?

No. Use the Upgrade button on the Template. See HubSpot: Upgrading to V2 guide.


Why can't I see my custom field in the Variables list?

Custom fields are opt-in. Open Integrations on the left sidebar menu of your Qwilr dashboard, select the HubSpot (new) integration card, then go to the Variables tab. From there, select the right record type, and check the field. You'll need Admin access in Qwilr to do this. See HubSpot V2: Manage your custom field variables.

If the field is there but faded and marked Default Field, it's already available in your Templates.


Why is my dropdown showing a code instead of the label?

Your dropdowns should show the option label. If one shows a code, check the field in HubSpot's property settings. If the option's internal value was set to the same text as its label, that's what you'll see on the Page.

If you upgraded this Template from our earlier HubSpot integration and it still shows a code, reach out to support. A Variable stored before the upgrade can keep its old behavior.


Do Owner Variables work now?

Yes. Drill into Owner in the Variables panel under the HubSpot (new) integration under your Integrations menu for the owner's name, email, first name, last name or ID. If you built a workaround on the old integration, a custom text field holding the owner's name for example, you can drop it.


Why does my date have no time on it?

Date and time fields resolve to the date only. This matches how our earlier HubSpot integration behaved.


Why is my Street Address Variable working but my map field isn't?

The ordinary address fields; Street Address, City, State, Postal Code, Country, are all included as default fields and work normally. What can't be used is a field HubSpot stores as map coordinates, because it holds more than one value at once.


Why does my file field show a number?

File fields return HubSpot's internal file ID rather than a link or a filename. If you need the file itself, host it and use a URL field.


What happens to Pages I've already sent when I upgrade a Template to V2?

Nothing. Upgrading a Template doesn't touch Pages that were already created from it.


Who can connect the integration?

You'll need Admin access in Qwilr, and permission to install apps in your HubSpot account.
