Salesforce V2: Bulk Creating Qwilr Pages
Need proposals for a whole batch of deals? The Create Qwilrs button lets you select several records in a Salesforce list view and create a personalized Qwilr Page for each one, in a single go. This guide covers adding the button to your list views, creating Pages in bulk, and finishing any Pages that need a little extra input before they're sent.
Before you start:
- The Salesforce V2 integration needs to be installed and connected first. If that hasn't been done yet, start with Salesforce V2: Installation Guide.
- This feature is only available in version 1.3 onwards, so ensure you have the correct version of the package installed.
- You'll need at least one Salesforce-connected Template for the record type you're working with. See Salesforce V2: Creating Templates and Pages to build one.
- Adding the button to a list view is a one-time step for a Salesforce Administrator. After that, anyone with access to the integration can use it.
- This integration is only available to Scale (and legacy Enterprise) plan customers.

Adding the Create Qwilrs button to a list view
The Create Qwilrs button comes with the Qwilr Proposals package, but Salesforce doesn't show it on list views until an admin adds it. You only need to do this once per object. For this example, we'll use Opportunities.
Step 1. In Salesforce, go to Setup, then Object Manager, and select Opportunity.
Step 2. Click List View Button Layout in the left menu. You'll see a single row called List View.
Step 3. Open the menu at the end of the List View row and click Edit.

Step 4. Under Custom Buttons, select Create Qwilrs in Available Buttons and move it across to Selected Buttons. Then click Save.

Step 5. Head to any Opportunity list view. You'll now see Create Qwilrs in the list view header.

Note: Salesforce hides custom list buttons on the Recently Viewed list view. If you can't see the button, switch to another list view, such as All Opportunities or Opportunity Pipeline.
Creating Pages in bulk
Step 1. Open a list view in Salesforce and tick the checkbox next to each record you want a Page for.

Step 2. Click Create Qwilrs in the list view header. You'll briefly see Loading Qwilr… while Salesforce loads the Qwilr component.
Step 3. A confirmation card shows how many records you've selected. Click Create Qwilrs to open Qwilr in a new tab.

Nothing happened? Qwilr opens in a new tab, so check your web browser isn't blocking pop-ups from Salesforce.
Step 4. In the new Qwilr tab, choose your Template. You'll only be offered Templates linked to that record type.

Step 5. You'll then see the Page details window. Set the Page title and the Folder in your Qwilr account where the Pages will be saved. These settings apply to every Page in the batch. When everything looks good, click Continue.

Step 6. Qwilr creates one Page for each record you selected, with each Page's variables filled in from its own record. Pages are created as Drafts, so you can review them before sending.

Step 7. When you're done, click Back on the confirmation card in Salesforce. You'll return to your list view with your filters kept.

Note: Every Page in the batch uses the same Page title by default: the Template's name. To give each Page a name of its own, add a variable to the Template's title. See Variables in Page Titles.
Finishing Pages that need setup
If your Template uses the Smart Proposal Engine including AI-assisted fields, Qwilr still creates a Page for every record. Those Pages are flagged Needs setup, and the summary lets you know which ones require configuration to complete.

Step 1. Open a Page flagged Needs setup. It opens in the Configure state, with the Salesforce variables already filled in and the Configuration Panel waiting for your input.

Step 2. Fill in the Configuration Panel including any AI-assisted fields.
Step 3. Click Finish. The Page is set to Live, with your Salesforce, Configuration Panel and AI values all in place.

Repeat these steps for each Page in the batch that's flagged Needs setup.
Templates you can't use for bulk creation
Some data sources or variables need a separate value for every Page, so they can't be filled in for a whole batch at once. If your Template uses one of these, they will be shown in the disabled section at the bottom of the template selection list which groups all the templates that are not available.
These templates will be any that use:
- A Gong call transcript data source.
- A Notes / free text data source.
- Account variables that have been added to the template content.

To use one of these Templates, create each Page one at a time from the record itself. See Creating your Qwilr Page inside Salesforce.
Troubleshooting
I can't see the Create Qwilrs button.
Check that you're not on the Recently Viewed list view, as Salesforce hides list buttons there. If it's still missing, ask your Salesforce Administrator to add it by following Adding the Create Qwilrs button to a list view.
My Template isn't in the list.
A Template only appears for the record type it's linked to. For example, Opportunity Templates only show when you've selected Opportunities.
All my Pages have the same title.
Add a Salesforce variable to the Template's title so each Page gets a name of its own. See Variables in Page Titles.
I can't click Continue on Page details.
Your Template uses a data source or variable that needs a value for each Page. See Templates you can't use for bulk creation.
The component is asking me to connect Qwilr.
You'll need to authorize your own Qwilr account first. See Handling individual team member Authorization errors.
